Office & Front of House Manager

YOURGB is looking to introduce a new role to the company, on a part time basis. We are looking for a brilliant Office & Front of House Manager, to join us in our Edinburgh office (located near Stockbridge), 5 days per week, from 09:30 to 14:00 each day. The ideal candidate will have some front of house, PA, EA, reception and/or secretarial experience and will feel at home within a vibrant office of creatives! (We’re not too hung up on experience – the right person is the priority as we can show you the rest!) They will be responsible for the smooth running of the office, along with being the first point of contact for callers and in-person visitors – we’re looking for an organised individual that’s a true ‘people person’, and will thrive within our lovely culture.

Role Details
Proposed start date: Open to discussion
Position: Office & Front of House Manager
Salary: £27,000.00 pro rata + benefits (22.5 hours per week)
Hours: Monday to Friday, 09:30 – 14:00 (5 days per week, in office role)
Probation: The role begins with a 3 month probation period, providing time for you and the Company to get a feel for the fit
Location: YOURGB HQ, 1-3 South East Circus Place, Edinburgh

Key Areas of Involvement:

  • Ensuring the office is well run, and that all guests and clients that visit us are warmly welcomed and well looked after
  • Company phone answering, first point of contact for called in enquires
  • Meeting room organising – setting up ahead of client meetings
  • Working with the Senior Finance Manager to assist with any admin
  • Working with the Team & Culture Manager to assist with any team meeting admin, record keeping & team training booking
  • Supporting the Head of Events & CEO with any ad-hoc assistance needed.
  • Supporting our Sustainability Champion with meter readings and energy consumption updates.
  • Storage room organising, mail and deliveries sorting and team notification
  • The management of all office supplies and distribution
  • Managing all third party office suppliers, looking after the upkeep and maintenance of the office, working with cleaners, suppliers and service providers to resolve any issues
  • Checking shared inboxes daily, ensuring emails are directed to the right team members / or responded to directly
  • Coordinating basic tech support and office systems, including communicating out software updates and arranging fixes when needed.
  • Ensuring the office remains safe and compliant through routine checks, including fire safety, first aid and general office standards
  • Keeping track of internal policies, ensuring reviews are scheduled and documentation is maintained
  • Supporting thoughtful team and client touches throughout the year (e.g. cards, gifting and seasonal moments)
  • Being innovative and looking for ways to improve on how we currently do things!
  • Ad hoc on-site administrative assistance
